Interim process for making certificate claims
We’re pleased to share with you that the NCFE Portal will be available for you to use, with full functionality, from Monday 9 February.
The only change that you may notice is that the Portal will only be available from 6am until 10pm GMT (rather than 24/7), to allow us to actively monitor the platform.
Withdrawal of interim processes from 5pm on Monday 2 February.
As such, this interim process for making certificate claims will be available until 5pm on Monday 2 February and will then close, to ensure we have enough time to validate your data and process any remaining requests before the Portal is back online.
With this in mind, please submit your forms and supporting documentation before this deadline, or alternatively, wait until the Portal is live again on 9 February.
Before you submit a request
To help us process your request as quickly as possible, please make sure you meet allthe criteria below before submitting:
- The learner(s) have completed all elements of the qualification and are eligible for certification.
- You’ve had a recent EQA review, and the learner(s) or batch of learners have been sampled.
- If the qualification includes an external assessment, the learner(s) have completed the external assessment before you submit a certificate claim request.
If you have not had a recent EQA review, if the learner(s) were not sampled, or if the learner(s) were registered after your last EQA review, you’ll need to contact your EQA to arrange a review before submitting a request.
How to submit a request
When you’re ready to submit an urgent request, please:
1. Download and complete the required learner qualification data template, which includes the minimum learner data we need. This template can be adapted for your learners, for example adding additional lines if you need to provide multiple units.
2. Have your centre number to hand as you'll need this to submit the web form and for password protection.
3. Take your time to double check that you've inputted all the relevant data fields on the template.
4. Password protect the template with your centre number (see below for advice on how to password protect a file), complete the certificate claim request web form below in full, attach the learner qualification data template and click submit.
We’re only able to process requests that are submitted using the web request form below and supported by the completed learner qualification data template.
What happens next
- You’ll receive a notification on the web page once your request is submitted.
- If any information is missing or unclear or we’re unable to process the request, a member of our team will get in touch with you.
- If the eligibility criteria are not met and we’re unable to proceed, we will contact you.
Please bear with us while we process your request. Requests are handled in date order. If you have submitted multiple claims, you may receive updates at different times as these are being processed by different members of the team. Please do not contact us if you’ve only received a response for one of your claims unless it is over our 10 working day SLA.
