Portal Registrations and Bookings

We’re pleased to share that we’re making strong progress in recovering from the recent cyber security incident. Thank you for your patience and support during this time. 

Portal access update 

As a precaution, the Portal was taken offline following the incident. We will begin restoring some features for NCFE colleagues shortly, and the Portal will fully re-open for external users at the end of January 2026. 

How to register learners and make bookings

While the Portal remains offline, you can still complete essential activities such as learner registrations and assessment bookings. To help you, we’ve created the webforms below that allow you to submit the required information to our internal teams, who will process it on your behalf. 

If you upload learner registrations using CSV or Bulk CSV, please complete your CSV file as usual and upload via the forms below.  

If you normally use the key in function on the NCFE Portal please use the CSV option.

Forename * 

Add the learner’s legal forename 

Middle name 

Add a learner’s middle name (this will be printed on the learner’s certificate if included) 

Surname * 

Add the learner’s legal surname 

DOB * 

Add the learner’s date of birth 

Ethnicity

Gender * 

Add the learner’s gender 

Centre learner reference 

Add any reference you wish to use for your learner 

ULN * 

The unique learner number (ULN) is a unique 10-digit number. Most learners aged 14+ have one and it’s designed to work with the personal learner record (PLR) as proof of learning and achievements. This is mandatory for T Level qualifications. 

Postcode 

Add the learner’s postcode 

Learner start date * 

Add the date on which learning for the qualification began (accurate to within a week) 

Planned end date * 

Add the date on which learning for the qualification is planned to end 

Country * 

Add the country within which learning is delivered from. If your learner is studying outside of the UK, please choose the appropriate country of study. If your learner’s country of study is not showing, you can email [email protected] to get this added.
